1. To reply to your message and confirm reservations for upcoming walks.
2. To send you a short pre-walk note the evening before a route, including the meeting point.
3. To improve the quality of our communication, by reviewing common questions and updating our route notes.

We do not use your information for automated decision-making or profiling.

4. Lawful basis for processing

We process your personal information based on your consent, given when you submit our contact form, and on our legitimate interest in organising safe and well-coordinated walks for participants who have opted in.

5. How long we keep your information

We retain reservation messages for up to twelve months after your last walk with us, so that we can answer follow-up questions and keep accurate host records. After that period, your information is deleted from our active systems. Backup copies are rotated regularly and overwritten within a further three months.

6. Sharing your information

We do not sell, rent or trade personal information. We may share limited information with the following categories of trusted partners, only when strictly necessary:

• Our email service provider, used to send walk confirmations and replies.
• Our website hosting provider, which stores log data for security and uptime.
• Public authorities, where we are required by New Zealand law to do so.

Each partner is bound by confidentiality obligations and processes your information only on our documented instructions.

7. International transfers

Some of our service providers may store technical log data on servers located outside New Zealand. Where this happens, we choose providers that apply privacy safeguards equivalent to those required by the New Zealand Privacy Act 2020.
